Project Overview
HR is an SaaS based (ATS) Applicant Tracking System witch is part of HRIS
that integrates Automations, that helps medium-small business and Human source to track and manage candidates hiring process in the pipeline funnel and by that improve productivity and grow revenue faster.
The Goal
The goal was to improve small-medium business revenue in 50%, by integrating Automation system in the ATS

The challenge
Manual Data Entry
Tasks like; resume screening, candidate communication, and interview scheduling require manual effort, leading to slower processes and causes delays in the hiring process.
Additionally it can be time-consuming, prone to human errors, data duplication and which impact the efficiency and may require additional resources.

User research
The objectives of the study included gaining an understanding of the current recruitment pipeline process for medium-small business, identifying the challenges and pain points and needs in current processes and solutions, and identifying potential competitors.

Quantitative& Qualitative Research: Surveys and and Interviews
A survey of users and questionnaires was conducted and promoted on Facebook and WhatsApp groups associated with humane source and business owners, with the goal of getting a statistical picture,
12 participants who matched the target demographic audience were the potential users using employee management systems in part of their daily routine, answered the online survey and were also interviewed by phone and in person.
How frequent do you use a recruitment platform?

The survey shows that managers and recruiters use ATS on high frequency, and repeatedly recruit candidates over 100 times a month.

In most employee systems today does not included full automation process if they do, only limited actions.

The survey proved that 70% of our users and who use a complex system on a daily base, work in 51-1,000 employees company size.
This means that most of small companies are interested in cheaper or free tools like: Excel sheet, Google forms...
which causes small business owners to west time in tedious repetitive actions, instead of dealing with the development and progress of their business.

Conclusions

To emphasize the competitive advantage I see the following improvements:

Steep Learning-Its challenging to adopt for new users and requires some technical knowledge, offering help and guidance during steps of use and showing will make learning curve easier

After pressing on Technical Engineer, we can see all candidates for this opening job.

pressing on "Edit status" or on the "Automate" button will navigate you to "Automation Management" screen.


​"Automation Management" screen, here we can see all the Automations that are currently active.
Pressing on "Create New Workflow" will navigate you to the next screen

After pressing on "Create New Workflow" you will be forwarded you to set the automation setting screen. First you will add Trigger, the trigger will be based on Record change or on Date/Time base.


Then you will set the Trigger Conditions. Choosing "Record Update" will trigger an action when something is changing in the chosen record.

After setting the Trigger Conditions, you will see the Summery of the conditions:
Then you will choose Action that will happen after recognizing the trigger happening.

Add the preferred Action.
In this case we will choose to "send mail" after recognizing update on the record.

Setting the mail details. You can choose to insert templet that match the current stage,
For example: if one candidate will move from "Phone Interview" stage to "On-site Interview", we will choose to insert the "On-site interview" templet letter to inform the candidate what will happen in the next stage and to invite him to interview in the office.

After setting the Trigger Conditions and the Action, you will see the Summery of all your settings, and the trigger will be created.
The flow of the automation will be activated only after activating the atomation.

In the "Reports" you can see the current changes:
1. The average days to hire new candidates.
2. How many candidates are in each stage
3. Reasons for declining candidates offer.
4. From which source candidates came from.
5. Days to hire by job opining positions.
6. Days to hire by stage.
